How does
ChequeScribe 32 enhance check security?
-
Positive Pay (optional
module)
A customer generates and transmits a Positive
Pay file (from ChequeScribe 32) to the banking
institution. The banking institution then takes
responsibility to cash only the checks that are
referenced in the Positive Pay file. It allows a
customer to obtain status information about all
outstanding checks in circulation.
-
Multilevel Password Security Control
ChequeScribe offers three signing
thresholds…having one, two or no signatures on
the check. Operator privileges can be
individually assigned. Operators and supervisors
are able to change their passwords.
-
Security Fonts
A choice of two secure numbering fonts to take
the place of the check amount written out in
words. These fonts make it very difficult to
modify the check amount for fraudulent purposes.
-
Encryption of all digital signatures
To prevent unauthorized usage of signatures in
other software applications
-
Activation and decryption of signatures
By use of Signature Card and Magnetic Card
Reader
-
Fully customizable operator privileges
By the designation of duties which can be
assigned by someone with supervisor rights.
Control of digitized check signing by use of
three fully customizable signing thresholds.
-
Physical security USB hardlock key attached to the PC prevents
unauthorized usage of the ChequeScribe 32
software at other computer workstations. Without
this key you cannot print checks
(with "live" data).
-
Full Reporting System
The Audit Reporting system gives information,
including check amount, number, date, payee name
and the user that printed the check run, based
upon the current batch of checks being printed.
The Archive Reporting system provides historical
information including: check number, payee name,
bank account, operator, and daily checks
printed) based upon a date range.
-
Multi-level password security control via:
-
Authorized operator id & password access
dollar signing amounts (3 levels)
-
Operator privileges (e.g. reports viewing &
printing, check re-printing, ability to
override signature amount limits at time of
check printing, etc.)
-
Operator security level
-
Positive Pay files - upon successful completion
of a check run, payment data is formatted into a
file that complies with your banks
specifications. The file can be sent to the bank
over a direct modem connection or via a secure
internet site. The bank will then have a copy of
the check run, including, check numbers, date,
dollar amounts and account numbers so that when
checks are presented for payment, the checks are
compared to the file. If any discrepancy is
found between the presented check and the
information in the organization's file, the bank
contacts the organization to determine if the
check should be paid or not.
-
A
physical security USB hardlock key is
attached to the PC running ChequeScribe 32. Without
this key, the "live" version of ChequeScribe
will not run even though you may have it
installed. The "demo" version of ChequeScribe
will run but all checks printed will have the
word "VOID" printed across them
-
Encrypted digitized signatures - ChequeScribe
prints digitized signatures on checks using
encrypted signature bitmap files created from
original signature samples. The signature
bitmaps reside with the ChequeScribe data files
and may not be copied or printed using any
software program other than ChequeScribe.
-
Signatures are printed subject to check amount
limits defined for each ChequeScribe operator.
-
Checks
cannot be printed without proper authorization
(e.g. signers to swipe their signature card
through the card reader or a supervisor to
override signing limits if the check(s) is/are
over the operator's authorized limits)
-
Signature selection with each bank account or
Magnetic signature cards and card reader
ABOUT
SIGNATURE SECURITY
The ChequeScribe system prints signatures on
checks using encrypted signature bitmap files
(graphics files) created from original signature
samples. The signature bitmaps reside with the
ChequeScribe data files and may not be copied or
printed using any software program other than
ChequeScribe. Signatures are printed subject to
check amount limits that are defined for each
ChequeScribe operator. ChequeScribe provides two
methods for signature printing selection and
authorization.
-
Signature Selection with each Bank Account -
Signatures are selected for each bank account in
the ChequeScribe account database. The person
logged in to ChequeScribe must be of Supervisor
level to access the account database. Signatures
print on the checks subject to logged on
operator signing limits, with no other
accessories or commands required. Recommended
when:
-
Different signatures are required for
different bank accounts.
-
Distinct, separate custody of signature
printing authorization is not required.
-
Magnetic Signature Cards and Card Reader -
Signature printing is authorized by using
magnetic signature cards programmed to
correspond to encrypted signature bitmaps
residing within the ChequeScribe system. A
prompt for signature cards appears on the screen
when the Print Checks command is selected. The
operator then swipes the card(s) through a card
reader which is attached to the keyboard port of
the PC. The operator has the option of printing
checks without signatures by bypassing the
signature cards prompt. Recommended when:
-
The same signatures are used for all bank
accounts.
-
Distinct, separate custody of signature
printing authorization is required.
Signature amount limits are entered into the
Security Database for each ChequeScribe operator.
The logged on operator must be Supervisor level to
access the Security Database. Amount limits
defined for the logged on operator are applied to
all checks printed, e.g. it is not possible to
have different amount limits for different bank
accounts. For example:
Limit 1 = 9999 Two signatures
will be printed on checks up to and including
$9,999.99. (For bank accounts defined with
only one signature, limit 1 does not apply.)
Limit 2 = 149999 One signature (top signature)
will be printed on checks of $10,000.00 up to
and including $149,999.99. Limit 2 must be
equal to or greater than Limit 1.
Limit 3 = 9999999 No signatures will be
printed on checks of $150,000.00 up to and
including $9,999,999.99. Checks of amounts
above $10,000,000.00 will print with the word
VOID across the face. Limit 3 must be equal to
or greater than Limit 2.
